Hello Jorge and Amparo
Yes of course
If you have lets say already defined category 1,2,3 and the Document has only being tagged as Cat 1 you can just open the document, hit edit above the title of the document and you are back in the original submission form where you can choose and add additional categories or remove categories.
Now if you need to add category 4 for your document which is not already defined in your group you need first to add the new category 4 to the group and then you will be able to use it for your document
Here a brief explanation on categories http://capacity4dev.ec.europa.eu/help/document/how-create-and-manage-cat...
In this group you will find additional support material

Hello Jorge,
Thank you for that
There is no upper limit to how many documents you can have in your group ;-)
I think there is already one with 375 documents
Of course you need to make sure that they are properly tagged so that people can find their way through the library
In terms of max size for a single file : 32 MB
You should be aware that in delegations downloading 32 MB can some time be quite difficult ... so obviously the lighter the document the better //
Compressing pictures in power points and documents to 96dpi is a good starting poing to reduce file size.
To do this In word : click on one of the pictures (select)
then click on top menu in Word "Format" > "Picture"> "Compress" > Set the "Apply to" option to "all pictures in document" / set the "Change resolution" option to "Web/Screen" then click "Apply" (if the picture quality deteriorates too much just click undo)
In Powerpoint: just right click on any of the pictures and select "format picture" > click on "compress" ... then it is the same as for word documents ...

Thanks, how do I add another reader to this answer, the question came from Phillipe Bonhour who unsuccessfully tried to upload documents with a total seize of 380 Mb in several compressed files. This time I will transmit. I will add another question to the blog now

Some of the mission reports that we will like to post and tag are highly confidential, they have been send crytographed to Brussels. The site is private I know but the members will be diverse, any chance of controlling visibility? In this particular case I know for a fact that if this is not resolved the geographical units will oposse the health people to upload documents of interest and then the site loses its interest. Advice? Posibilities?
For related reasons I asked if it was possible to have to categories of members, does than can post and those that can only see, as I argued in a previous message. The response was not clear, I suppose that the response is NO,it is not possible to have members that see but can not post.

Visibility is only controlled through groups
Public = Visible to anyone //
EC/EEAS = Visible to members + EC/EEAS staff (logged on capacity4dev with EC/EEAS email) //
Private = Visible only to members
//
How you can make something visible to people without letting them post (only valid if you refer to colleagues from EC/ EEAS) : Contents of your EC/EEAS group will be visible to all EC/ EEAS staff but only members of the group will be able to post in the group. If you don't want them to be able to post don't make them (or rather accept them) as members.
For coherence inside a group we cannot have members seeing different things and having different rights. The only members that have more rights are the Admins (have the right to accept / ban members and delete other people posts inside the group ; moderators)
In your case I would use a combination of EC/EEAS and Private groups to disseminate the confidential material to who will need to access it
Beware in uploading highly confidential docs as any online platform is not 100% safe from attacks
even within the EC infrastructure as it is the case with capacity4dev. eMail me about this one to see for specifics needs and possible solutions
